Job Description

We’re looking for a proactive and detail-driven Fleet Administrator to join our team at our Head Office in Steeton, West Yorkshire office.

This is your chance to play a key role in managing our UK and European vehicle fleet, from van inspections to deliveries and compliance.

The Ideal Candidate

  • Strong organisational skills with the ability to prioritise tasks effectively.
  • Detail-oriented with strong organizational and time management skills.
  • Knowledge of fleet compliance and regulatory requirements.
  • Excellent communication skills, both written and verbal.
  • Basic understanding of vehicle maintenance and driver fixable issues.
  • Understanding of vehicle safety and axle weight limits.
  • A full clean driving licence

Key Responsibilities

  • Conducting regular, ad-hoc van inspections to ensure vehicles are well-maintained, serviced, and compliant with safety regulations, including axle weights.
  • Processing and tracking parking and driving infringements, handling fines, penalties, and corrective actions promptly.
  • Coordinating stock deliveries, working with relevant teams to ensure efficient distribution across the fleet.
  • Managing van swaps, ensuring timely vehicle exchanges that meet operational needs.
  • Ensuring that vehicles involved in swaps are in good working order and meet operational requirements.
  • Supporting driver training programs, including inductions and eco-driving training.
  • Accurately entering and updating fleet data in management systems.
  • Investigating fuel report discrepancies, identifying areas for improvement, and working with drivers and managers to address issues.
  • Taking action on non-compliance or repeated infringements, providing feedback to relevant teams.
  • Monitoring driver idling times, ensuring adherence to anti-idling policies.
  • Providing daily operational support, assisting with administrative tasks, and stepping in for staff during absences.

About the Operations Department

Our Operations teams play an important role in keeping everything moving so that our customers receive outstanding service. With more than 1.5 million components in our logistics supply chain our Operations team are able to track the location of every component and know in real time what components our engineers have used. Whether a stairlift installation takes place in Manchester or Milan replacement parts are despatched, often on the same day, to ensure all our customers' needs can be met. Acorn's Global fleet consists of around 600 vehicles which are the workhorses of our organisation and it is vital they are maintained and serviced to a high standard. Opportunities within Operations include team leader, logistics co-ordinator, fleet administration and heavy goods vehicle driver.
